My System for Organizing and Backing Up my Files

You may already have a system for organizing and backing up your files.  However, if you don’t, or you don’t like your current system, I am going to be sharing my system for organizing and storing my files.  

 

Now, I am in no way saying this is the only way or even the best way to do these things.  This is just the way that I have found works best for me.  

 

First, let's discuss the organization part.  First, I make a folder for each season with the season name and year.  I put the number is front to make sure the folders stay in order.

 

So, for example:

 

  • 01 Spring 2019
  • 02 Summer 2019
  • 03 Fall 2019

 

Then in each folder, I put the name of the client, again with the number first so that they stay in order.

 

  • 01 Susie Smith
  • 02 Jones Family
  • 02 Kelly Williams

 

Inside each client’s folder, I put the same 6 folders.

 

  • DNG - RAW files
  • MASTER - Edits (.PSD files)
  • LOW-RES - 1800 x 1200 to upload to my website
  • HIGH-RES -  .jpg files
  • WEB - web-sized 2018x1365 with watermark
  • PRODUCT DESIGNS - Any album, wall portraits, etc. that the client orders

 

 

Here is my system for backing up and storing my files:

 

After a session, I import my images through Lightroom.  My mac is set up to back up automatically to the Time Machine.  The Time Machine performs hourly, daily, and weekly backups of all the files on your computer.

 

After import, I copy my DNG originals to my external hard drive.  I never format my memory card until these steps are done. In fact, I wait as long as possible to format my memory card.  I have several memory cards for this reason.  

 

Once my edits are complete, I transfer all of the client’s folder and files to my external hard drive.  Then I upload the files to an online gallery within my website which serves as another form of back up. Lastly, I upload the high resolution files to Dropbox.  

 

Once the season is complete, I remove the client’s files from my computer hard drive.
